We recommend using Halocard to make a test payment with Kaseya to confirm acceptance in your individual situation.

Tips for successful payments at Kaseya

  • AcceptedSign in to KaseyaOne with the Admin or Billing and Purchasing role. Only those roles can add a card, set autopay or pay invoices.
  • AcceptedAssign the card to each order on the Payment assignment tab. Every invoice tied to that order is charged to it for the rest of the term.
  • AcceptedTurn on Autopay and pick the card as the default, so any order without a payment method is charged to it. A change takes effect from the next billing cycle.
  • AcceptedEnter the billing name and address exactly as they appear on your Halocard.

Why do Kaseya payments decline?

"You have payment methods that require your attention"

This banner shows on the Payment assignment tab in KaseyaOne. Click View payment methods, then update the card details or assign a different payment method to the orders it covers.

"Payment reassignment failed"

Click View order in the banner. The order opens on the Payment assignment tab, where you can assign a different payment method and save it again.

A Card expired tag on an order

Click the pencil icon in the order's Payment method column and select a current card. Kaseya does not let you reselect an expired payment method, so add the new card first if it is not saved yet.

An invoice more than 30 days overdue

Pay the open invoice in Kaseya Store as soon as you can. Past 30 days Kaseya can require a different payment method or payment upfront, or charge late fees of 2% a month, and after notice it can suspend access to its products.

Kaseya payment FAQ

What should I do if Kaseya declines or doesn't support my card?

Pay with a Halocard instead. Kaseya accepts it, and as a US-issued Visa credit card held in US dollars it is accepted at checkouts that are strict about card type or country. Halocard is available for customers in the US and 120+ countries, so check that your country is supported, then make a card for Kaseya in minutes. See the countries Halocard supports.

Can I use a virtual card for Kaseya?

Yes. Kaseya accepts Halocard, a US-issued Visa credit card that works like a debit card. Make a card just for Kaseya and you are in full control: set a limit, lock it or cancel it whenever you like, without ever handing Kaseya your bank card.

How do I stop Kaseya charging me after I cancel?

The fastest way is to lock the Halocard you use for Kaseya. Halocard is a US-issued Visa credit card that gives you a separate card for each merchant, and locking one takes a couple of clicks in your Halocard dashboard. Kaseya can't charge that card again until you unlock it, so you stay in full control even when cancelling is slow or hard to find. To cancel with Kaseya as well: It depends on the subscription. A term-based or usage-based subscription is cancelled through your account manager, shown in the Your Kaseya team widget in KaseyaOne, and an opt-out of auto-renewal must reach Kaseya at least 30 days before the term ends. A month-to-month subscription is cancelled with its Opt-out link on the Subscriptions page: sent by the 15th, it stops at the end of that month, and after the 15th, at the end of the next month.

Where is the Kaseya billing portal?

Kaseya bills through Kaseya Store. In KaseyaOne, choose Subscriptions & Billing, then View and Pay Invoices, and Kaseya Store opens on your Invoices page. Datto Partner Portal users choose Pay Bills from the Purchasing & Billing menu. You need the Admin or Billing and Purchasing role. For a billing question, open Kaseya Assist from the chat icon in the lower-right corner of any KaseyaOne or Kaseya Store page and ask it to open a billing ticket.

Does Kaseya charge my card automatically?

Yes. Kaseya's Master Agreement says that by providing a payment method you authorize Kaseya to charge it automatically for all fees through the term and on renewal. Subscriptions renew automatically unless you opt out in time, and a renewal can cost up to 5% more plus the yearly rise in the Consumer Price Index.

Does Kaseya accept ACH or wire transfer?

Yes. Kaseya's Master Agreement lists credit card, ACH or wire and direct debit, depending on your location and credit history. A bank account can be added in KaseyaOne Payment Management and set as the autopay default. Kaseya says ACH and wire payments take 3 to 7 days to process.

Can I keep my company's billing details private from Kaseya?

No. Kaseya's Master Agreement asks for your complete legal name, street address, email address and an authorized billing contact, and for any change within three days. Kaseya uses the billing address to decide which Kaseya company you contract with and the sales tax it charges, so keep it accurate on your invoices.
